Consult-to-Document Implementation Checklist
This checklist helps health services prepare for structured consult-to-document workflows using Regenemm Voice. Use it to assess readiness, identify gaps, and plan your rollout.
Phase 1: Governance & Consent
Privacy & Security Review
- Confirm data residency requirements (AU/NZ/etc.)
- Review consent process for consult recording
- Validate encryption standards for stored recordings
- Establish access controls (who can view/edit documentation)
- Define audit requirements (logging, retention, review)
Clinical Governance
- Define documentation standards (what goes in notes vs. letters vs. summaries)
- Establish review/approval workflow (who signs off on AI-drafted content)
- Set quality assurance process (random audits, spot checks)
- Clarify liability boundaries (clinician responsibility for final output)
Phase 2: Operational Readiness
Technical Setup
- Confirm device compatibility (iOS/Android/web)
- Test audio quality in typical consult environments
- Integrate with existing clinical systems (FHIR, HL7, export formats)
- Set up user accounts and permissions
- Configure templates for specialty-specific workflows
Training & Onboarding
- Schedule initial training sessions (2-hour clinician onboarding)
- Provide access to sandbox environment for practice
- Create internal "quick start" guide tailored to your service
- Identify clinical champions for peer support
- Plan ongoing skill development (monthly check-ins)
Phase 3: Pilot & Rollout
Pilot Program (4-6 weeks)
- Select 2-3 clinicians for initial pilot
- Define success metrics (time saved, documentation quality, user satisfaction)
- Gather weekly feedback (what's working, what's not)
- Identify workflow adjustments (template tweaks, integration fixes)
- Document lessons learned for broader rollout
Full Rollout
- Communicate rollout plan to all clinicians
- Schedule training sessions for remaining staff
- Provide technical support during transition period
- Monitor adoption metrics (usage rates, documentation volume)
- Iterate based on feedback (monthly reviews for first 3 months)
Phase 4: Measurement & Iteration
Key Metrics to Track
- Time saved per consult (baseline vs. with Regenemm)
- Documentation turnaround time (consult to finalized note)
- Patient summary delivery rates (% of consults with summary sent same day)
- User satisfaction (clinician NPS, ease of use ratings)
- Audit outcomes (compliance rates, error frequency)
Continuous Improvement
- Quarterly review of documentation quality
- Regular template updates based on specialty needs
- Ongoing training for new features/capabilities
- Feedback loop with Regenemm product team
